Digitizing an Auto Workshop Without Building a Custom App

A Mexican auto workshop needed to go digital, but a custom app was overkill. We built on Google Workspace — the tools the team already knew.

The Problem

Paper Tickets and Lost Records

A family-owned automotive workshop in Baja California Sur tracked every repair on paper tickets. Service history was stored in filing cabinets. When a returning customer asked about previous work, someone had to dig through physical files — if they hadn't been lost or water-damaged.

The workshop owner wanted to go digital, but building a custom app felt like overkill. The mechanics were comfortable with Google tools (Gmail, Calendar, Sheets). A full custom system would require training, onboarding, and ongoing support they couldn't afford.

Our Approach

Building on What They Already Know

Instead of a custom app, we built on Google Workspace. A Google Form captures vehicle intake data. A Google Sheet serves as the work order database with automated calculations. Google Calendar manages appointment scheduling. A simple Apps Script ties everything together — auto-generating service records, sending appointment reminders via email, and creating a searchable customer history.

The total investment was a fraction of a custom application. Training time was nearly zero because the team already knew Google tools.

The workshop went from paper to digital in a single day — with zero training.
The Outcome

Digital in a Day

The workshop went from paper to digital in a single day. Customer history is now searchable. Appointment reminders reduced no-shows. The owner can see daily revenue and pending work from their phone. And when they eventually outgrow Google Workspace, the data is structured and ready to migrate.
